This notice explains how GYAMDIAS LTD, trading as InSyncPets, collects and uses personal data when people visit the website, create an account, buy products or subscriptions, activate a smart tag, manage a pet profile, scan a tag, share finder information, contact support or use a business service.

GYAMDIAS LTD is normally the data controller for direct customer, website, account, order, support, smart-tag and finder-service data. In some business or white-label arrangements, the written agreement may allocate controller and processor roles differently.

This notice covers customers, account holders, pet owners, finders, trusted or emergency contacts, veterinary contacts, business contacts, website visitors and people who contact us. Customer accounts are intended for people aged 18 or over.

We collect data directly from account holders, customers, finders and business contacts; automatically from the website and service; and from payment, delivery, security or support providers. An account holder may also provide details about trusted contacts, family members or veterinary contacts.

If you add a trusted contact, emergency contact, family member or veterinary contact, you must have a lawful reason to provide their details and should tell them that their information has been added. We may provide them with privacy information when we first contact them or within the period required by law.

7. Public finder-page information

The account holder controls which approved details are shown to a finder. Do not publish information that is unnecessary, highly sensitive or unsafe to make public. Finder pages are accessible to anyone with the relevant tag link, NFC tap or QR code.

8. Who we share data with

We may share only the data needed with hosting and cloud providers, payment processors, email and notification providers, delivery carriers, customer-support and security providers, professional advisers, regulators, law-enforcement bodies where legally required, and business processors acting under contract. We do not sell personal data.

9. International transfers

Some service providers may process data outside the United Kingdom. Where this happens, we use an applicable UK adequacy regulation, the UK International Data Transfer Agreement or Addendum, or another lawful safeguard, unless a legal exception applies.

10. Retention

We may keep limited records for longer where required by law, fraud prevention, safeguarding, legal claims or enforcement of our agreements. The operational systems must follow the retention schedule stated here.

11. Your rights

Depending on the circumstances, you may have rights to be informed, access your data, correct inaccurate data, request erasure, restrict processing, receive portable data, object to processing, withdraw consent and challenge certain automated decisions. Rights are not absolute and legal exemptions may apply.

Please contact us first so we can try to resolve the issue. You also have the right to complain to the UK Information Commissioner’s Office at ico.org.uk.

13. Security

We use appropriate technical and organisational measures designed to protect personal data. No online service can be guaranteed completely secure, so users must also keep passwords, account access and tag-management links secure.

14. Changes to this notice

We review this notice when the service, suppliers or law changes. Material changes will be brought to users’ attention where required.
